In an effort to improve the university’s information security posture, all Teams in Microsoft Teams will now be set to Private instead of Public (visible to everyone at WashU). Individuals will now need to manage Microsoft Teams membership and file sharing in OneDrive and SharePoint.
When using Microsoft Teams, OneDrive, and SharePoint it is important to understand that access can be granted at several levels. Please see the below instructions to ensure your Microsoft resources are shared appropriately.
How to think about Microsoft 365 Access
- When creating a new Team in Microsoft Teams, create it as Private to control who has access to the shared information.
- Limit Team members in your Microsoft Teams to the people who need access.
- Review file sharing settings in Microsoft Teams, OneDrive, and SharePoint to verify who has access.
- Set expiration dates when sharing files via OneDrive or SharePoint.
- Ongoing Review: This last step is easily overlooked but perhaps the most important. Periodically review your files and collaboration spaces to ensure they are shared appropriately.
Where do I start?
- Creating a Team in Microsoft Teams
- Reviewing your shared files in OneDrive
- Reviewing files shared in SharePoint
- Review the members and owners of your Microsoft Teams
- Setting expiration dates when sharing files via OneDrive or SharePoint
Thank you very much for your cooperation in helping keep WashU secure.
